Every facility drills evacuations for residents and staff. Far fewer can answer the question a real emergency asks first: who else is in the building right now?
Visitors are the blind spot in most emergency plans. Families, vendors, contract therapists, delivery drivers — on a busy afternoon they can outnumber staff. If your accounting for them is a paper sign-in sheet by the door you just evacuated through, they're unaccounted for by definition.
The three capabilities that matter
1. A live evacuation roster
The core requirement is simple to state: at any moment, you need an accurate list of every visitor currently checked in — who they are, whom they're visiting, and when they arrived.
That's only possible if check-in and check-out are actually captured, which is why it has to be effortless at the kiosk. When it is, the evacuation roster is a live view, not a reconstruction: pull it up on a screen at the assembly point, on a staff member's phone, or print a hard copy on the way out.
2. Reaching every staff member at once
Emergencies don't wait for the overhead page to reach the far wing. Mass alerts — simultaneous email and SMS to defined staff groups — mean the whole team gets the same message at the same moment, whether they're at the nurses' station or in the parking lot. Grouping matters too: a facility-wide weather alert and a discreet security notice to leadership are different messages with different audiences.
3. Knowing when someone hasn't come back
For facilities that track residents leaving for appointments or family outings, the dangerous gap is the return that doesn't happen. An overdue-return alert — raised automatically when an expected return time passes — turns "we noticed at dinner" into "we noticed in twenty minutes." For elopement risk in particular, that difference is the whole game.
Prevention is also preparedness
The best emergency is the one that never starts. Screening every arrival against a watch list and ban list at the front door prevents a subset of security incidents outright — the ex-employee, the restricted family member, the individual with a protective order against them. The kiosk flags the name quietly and alerts staff before anyone reaches a resident hallway.
Drill it
Whatever system you use, put it in the drill. Next fire drill, add one step: produce the visitor roster and account for every name at the assembly point. If that step takes more than a minute or produces a list you don't trust, you've found the gap while it's still free to fix.
